Your Dental Practice Needs a Receptionist for Its Website

BotDesk answers patient questions on your website 24/7 and collects new patient and appointment requests, so your front desk can focus on the patients in the chair.

The Problem

New Patients Don't Wait on Hold

A prospective patient lands on your website at 8pm with a toothache. They have questions. No one answers. They move on to the next dentist.

After-Hours Inquiries

Many people look for a dentist outside office hours. If your website can't respond at 9pm, those patients go elsewhere.

Front Desk Overload

Your receptionist is juggling check-ins, phones, and insurance calls. They can't also respond to every website inquiry in real time.

Lost New Patient Revenue

A single new patient is worth hundreds to thousands of dollars over their lifetime. Every missed inquiry is a patient who went elsewhere.

How It Works

How Long Setup Takes

No IT team, no complicated setup. Add BotDesk to your practice website in minutes.

How long it takes depends on your website. WordPress, Squarespace (Core plan and up) and most sites with a footer code box: about 5 minutes. Wix needs a Premium plan with a connected domain to add code. GoDaddy Website Builder usually can't take code, so you add a button that opens your chat link instead. Can't paste code at all? We'll set it up for you, free.

1

Enter your practice information

Services offered, accepted insurance, office hours, location, new patient process. BotDesk learns everything so it can answer accurately.

2

Paste one line of code on your site

Works on any website: Wix, Squarespace, WordPress, custom. Your web admin can add it in 30 seconds.

3

Capture new patients automatically

Website visitors get instant answers and the bot captures their name, phone, and reason for inquiry, emailed to you immediately.

What It Answers

Every Question New Patients Ask

Train it once on your practice's details. It handles the repetitive questions so your front desk doesn't have to.

"Are you accepting new patients?"

Tells patients what your site says about taking new patients and how to get started. It can't see your schedule, so it takes their name and number for your front desk to book.

"Do you accept Delta Dental / Cigna / Aetna?"

Lists the insurances you accept and lets patients know what to expect before they ever call your office.

"How do I schedule an appointment?"

Walks new patients through your booking process and takes their info for a callback. On any paid plan it can also send them to your online scheduler.

"How much does a cleaning cost without insurance?"

Quotes your self-pay rates and explains your payment options so patients aren't surprised at checkout.

"I have a toothache. Can I come in today?"

Captures emergency inquiries with urgency, collects patient contact info, and routes it to your team immediately.

"Where are you located / is there parking?"

Shares your address, parking details, and any first-visit instructions, reducing no-shows from confused new patients.

FAQ

Questions from Dental Practices

No. BotDesk isn't set up for HIPAA, and we don't sign a Business Associate Agreement (BAA). Here is what that means in practice: every chat is saved for up to 12 months so you can read it, and the text is sent to OpenAI to write each reply. If a patient types why they're coming in, such as a cracked tooth, that is saved too. The safe way to use it: keep it to general questions (hours, location, insurance you accept, how to become a new patient), set the greeting to ask patients not to share health details in the chat, and let it take just a name and number so your front desk calls back. If your practice needs a BAA for this, don't use BotDesk for patient intake.

Currently BotDesk captures inquiry details and sends them to you by email. On the Pro plan you can also add a link to your online scheduling tool (Dentrix, Curve, Carestream, etc.) so patients can book directly. It doesn't connect to Dentrix, Curve or any practice management system, so it can't see your schedule or patient records.

Yes. If a patient asks something outside your training data, the bot tells them it'll pass the question along and captures their contact info. Nothing falls through the cracks.

Yes. Log into the dashboard any time to update hours, services, insurance, or FAQs. Changes go live immediately.

Yes. It replies in the language each person writes in, such as Spanish, Chinese, Vietnamese, Korean or Tagalog, on every plan, and you choose which languages it uses. On Growth and up, chats in another language reach you with an English translation.

How languages work →

Starts at $29/month, typically covered by a single new patient inquiry your team would otherwise have missed. 30-day free trial, cancel any time before day 31. There's also a Free plan with no card: it answers your customers' questions and collects up to 10 visitors' names and numbers a month; unlimited leads start on the $29 plan.

What it won't do

Medical questions. It's built to never give medical or dental advice, never diagnose, and never suggest a medicine, dose or home remedy. If someone describes chest pain, trouble breathing, fainting, bleeding that won't stop or sudden numbness, its first words tell them to call 911. For severe pain or swelling, it tells them to call your office now, and 911 if it's an emergency.

Prices, hours and insurance. It's built to never make up a price or your hours. If they aren't on your site or in what you've added, it says it doesn't have that detail and offers to take the visitor's name and number so your office can follow up. It never tells a visitor what their insurance will cover; it says that depends on their plan.

What lands in your inbox

Sample, with made-up details. When a visitor wants a call back, the lead email looks like this. It is the same layout as the real one.

On your phone, tap the number to call them back. The same lead is saved in your dashboard's Leads tab. The Free plan takes up to 10 leads a month; paid plans take every one.
