Built for PT Clinics

Fill Your PT Schedule
Without the Phone Tag

BotDesk captures new patient inquiries, answers insurance questions, and handles after-hours scheduling requests, so your front desk can focus on the patients already in the clinic.

New Patient Inquiries Slip Through Every Day

Physical therapy clinics are busy. When the phone rings during a session, it often goes unanswered.

Busy during treatment sessions

Your therapists are hands-on with patients, so new inquiries wait. Many people won't leave a voicemail, but they will ask a question on your website if they get an answer right away.

Insurance questions stall conversions

"Do you take my insurance?" is often the first thing a new patient asks. A chatbot answers it instantly, before they call a competitor.

Post-injury searches happen at night

Someone twists their ankle on a run at 8pm and searches for PT clinics. Your chatbot captures that lead before morning.

From Website Visitor to Booked Patient

BotDesk learns your clinic in minutes and handles new patient inquiries around the clock.

1

Train It on Your Clinic

Insurance accepted, conditions treated, therapist specializations, hours, and new patient process. Takes about 10 minutes.

2

Add to Your Website

One line of code on any website platform. Works on WordPress, Wix, Squarespace, and custom-built sites.

3

Receive Qualified New Patient Leads

Lead alerts give your front desk the patient's name and number and a good time to call, ready to confirm a visit. The Free plan takes up to 10 leads a month; paid plans take every one.

Questions New PT Patients Always Ask

Train your chatbot once and it answers these instantly, 24/7, without tying up your front desk.

"Do you take [insurance]?"
Lists your accepted insurers and what to expect for copays, filtering out patients you can't serve before they call.
"Do I need a referral?"
Tells them whether your clinic needs a referral, using what you put in its business info.
"Do you treat [condition]?"
Covers your specialties (sports injuries, back pain, post-surgical, vestibular, pediatric) and which therapists specialize in what.
"How long is a first appointment?"
Evaluation length, what to expect, and what to bring, reducing no-shows from first-timers who don't know what they're walking into.
"Can I get in this week?"
Takes their name, number and a good time to call, so your team can confirm a slot the same morning. On the Free plan, up to 10 a month.
"What should I wear / bring?"
Comfortable clothing, insurance card, referral if needed, and any imaging (MRI, X-ray), answered before they even call.

Common Questions

No. BotDesk isn't set up for HIPAA, and we don't sign a Business Associate Agreement (BAA). Here is what that means in practice: every chat is saved for up to 12 months so you can read it, and the text is sent to OpenAI to write each reply. If a patient types why they're coming in, such as knee pain after surgery, that is saved too. The safe way to use it: keep it to general questions (hours, location, insurance you accept, whether you need a referral, what to bring to a first visit), set the greeting to ask patients not to share health details in the chat, and let it take just a name and number so your front desk calls back. If your practice needs a BAA for this, don't use BotDesk for patient intake.

The chatbot confirms whether you accept a patient's insurance plan. It doesn't perform real-time benefit verification. That still happens at the front desk. But it eliminates the friction of the first question, captures the lead, and lets your team do the full verification when they call to schedule.

It's built to send them to a person, not to handle it. If someone describes chest pain, trouble breathing, fainting, bleeding that won't stop or sudden numbness, its first words tell them to call 911. For severe pain or swelling, it tells them to call your clinic now, and 911 if it's an emergency, then offers to take their name and number. It doesn't judge how serious an injury is or suggest treatment.

Yes, this is one of the most valuable uses. Many people considering PT don't know what to expect. Your chatbot can walk through the initial evaluation, how a care plan is set, and what a typical session looks like, reducing first-visit anxiety and no-show rates.

Yes. You can configure BotDesk to describe each therapist's specializations so patients can self-match to the right provider before they even call. This saves your front desk time triaging calls and reduces mismatched bookings.

If all your clinics are on one website, one bot covers them. It reads your location pages with the rest of your site, so put each clinic's address, hours and phone number there or in Business info. Its leads go to your account email, and you can add up to 5 more addresses that get them too; it doesn't route a lead to one clinic. The bot answers on the website you set it up with, its subdomains and your chat link, and you can add up to 5 more websites you own. One plan covers one bot. If each clinic has its own website and wants its own bot and leads, each needs its own account and plan, or an agency can run several bots from one login.

Yes. It replies in the language each person writes in, such as Spanish, Chinese, Vietnamese, Korean or Tagalog, on every plan, and you choose which languages it uses. On Growth and up, chats in another language reach you with an English translation.

Plans start at $29/month. One new patient per month from after-hours web traffic typically more than covers the cost. There's a 30-day free trial. Your card is added at signup and you're only charged if you don't cancel before day 31. There's also a Free plan with no card: it answers your customers' questions and collects up to 10 visitors' names and numbers a month; unlimited leads start on the $29 plan.

What it won't do

Medical questions. It's built to never give medical advice, never guess what's wrong, and never suggest exercises, a medicine or a home remedy. If someone describes chest pain, trouble breathing, fainting, bleeding that won't stop or sudden numbness, its first words tell them to call 911. For severe pain or swelling, it tells them to call your clinic now, and 911 if it's an emergency.

Prices, hours and insurance. It's built to never make up a price or your hours. If they aren't on your site or in what you've added, it says it doesn't have that detail and offers to take the visitor's name and number so your clinic can follow up. It never tells a visitor what their insurance will cover; it says that depends on their plan.

What lands in your inbox

Sample, with made-up details. When a visitor wants a call back, the lead email looks like this. It is the same layout as the real one.

On your phone, tap the number to call them back. The same lead is saved in your dashboard's Leads tab. The Free plan takes up to 10 leads a month; paid plans take every one.
